Church Visitor Welcome Email Template (+ a 4-Email Follow-Up Sequence)

A first-time guest has just made a big decision: they walked into a room full of strangers. A short, warm follow-up email tells them they were noticed, answers their questions, and makes a second visit easier.

Below is a four-email sequence you can adapt, with suggested timing, subject lines and a few rules to keep it personal rather than promotional.

Ground rules

Email 1: Welcome (Sunday evening or Monday morning)

Subject: So glad you joined us Sunday, [First name]

Hi [First name],

Thank you for visiting [Church] on Sunday. It was really good to have you with us.

If you missed anything, you can listen to Sunday's message, "[Sermon title]," here: [link]. In one sentence, [one-sentence big idea].

If you have any questions about our church, kids' ministry, or anything else, just reply to this email. It comes straight to me.

Hope to see you again soon, [Name], [Role] [Church] · [address] · [service times]

Email 2: What to expect next time (day 3)

Subject: A few things that might help this Sunday

Hi [First name],

A few quick things for your next visit: - Kids: check-in opens 15 minutes before each service at [location]. - Parking: [tip]. - Coffee: [where].

This week we continue our series [series name] in [passage]. Want to read ahead? [link]

Email 3: Connect (day 7–10)

Subject: The easiest way to get to know people here

Hi [First name],

Sunday is a great start, but most people tell us they really felt at home once they joined a small group. We have groups that meet [days/places], and you're welcome to visit one before you commit.

[See groups →]

Or, if you'd rather start smaller, I'd love to buy you a coffee. Just reply with a time that works.

Email 4: Next steps (day 21–30)

Subject: Can I help you take a next step?

Hi [First name],

I hope [Church] is starting to feel like home. If you're wondering what's next, here are a few options: [newcomers' lunch / membership class / serving team], [date], [link].

And if now's not the right time, no problem at all. We're glad you're here.

If you'd rather not get these emails, just reply "stop" and we'll take you off the list.
